A 2 day Operational Analysis which involves an onsite visit and is used in evaluating and enhancing the operational performance of your facilities department. It includes a 10 Point comprehensive review of:
This will be followed by a comprehensive report, and we will identify opportunities for optimization, implement targeted improvements, and ultimately elevate the operational efficiency and effectiveness of your facilities department.
The Operational Analysis contains 10 sections…
Here we will observe how Work Orders are processed and PPM scheduled. We will see how reports are received, level of detail and whether these interactions allow you to work in an open and transparent environment. How you interact with contractors with regard to H&S and procedural compliance.
We will see if any 'gaps' exist where jobs may be un-documented, schedules missed or where lack of information might impact on your plant longivitity or health & safety.
We will then make recommendations where you can make changes and improvements.
How are facilities related communications handled across your organisation? Are there "restrictions" in the line of communication? Is the flow of data and documentation easily maintained? These and other questions will be asked during the analysis.
If communications are 'difficult' we will identify the issues and assist you in confidently navigating these.
Do you have set written procedures for the various elements of your FM operations? Do your same rules apply to all from CEO down or are there separate rules for different departments. Is there an easy pre-determined routing for you to carry out issue resolution? Are there individuals who push the boundaries?
Many people have a 'fear' of following procedures because they believe they may not suit their individual needs and so try to circumvent them. Where there are not set procedures we will advise you as to their priority and suggest content.
Have you invested heavily in a CMMS and is it being used to its full potential? Have comfort zones been established with certain modules and are others ignored due to lack of training? Is your CMMS legacy? Do you have to adapt to the CMMS rather than the other way around?
After looking at your CMMS we will recommend the best options to improve your usage & ROI or indicate whether it is no longer fit for purpose.
Is your CMMS being used as a sophisticated filing cabinet or do you perform regular analytics from data input?
We will examen how you handle data and perform analytics. Recommendations will be made so you can make the greatest financial savings from your data.
Numerous polls and articles on LinkedIn and elsewhere are detailing the struggles facilities departments are having to work within their annual budget especially with rapidly increasing costs of fossil fuels, plant and maintenance.
We will review how spending is tracked and anticipated. Recommendations will be made so you can make the greatest financial savings from your FM operation.
What is the current condition of your plant and equipment? Are there identified risks for working on or gaining access to certain plant?
During our visit we will visit your plant rooms and see access whether there is an impact on health & safety and advise you on best practices to alleviate any identified risks.
CYBER SECURITY
Most organisations, invest heavily in cyber security to protect their servers and critical IT infrastructure. However, from a facilities viewpoint has the 'backdoor’
been left open?
We will look at the physical security of your IT infrastructure and give you any necessary advice if needed.
“The Customer is always right” & “It’s the customer who pays the bills” are two things to remember when engaging with contractors. When a contractor starts assuming control and begins dictating to your facilities department, these can be serious warning signs, which can lead to poor performance and workmanship.
This section looks at the level of control your facilities department department has over either contractors or facilities management company.
It is natural for visitors to your premises to glance around to get a first impression of your organisation. If it appears even a little shabby it will affect the way that they will interact with you during meetings etc. Unfortunately, too many properties show deterioration often after only a few years. It is important for your facilities department to maintain a good image for your company.
Likewise, plant rooms should be clean and tidy. An unkempt plantroom is a clear signal to contractors that you don’t care and then why should they?
Environmental policies are increasingly becoming central to the future of facilities management. As the world grapples with the challenges of climate change and sustainability, facilities managers are tasked with implementing and adhering to policies that promote environmental stewardship.
This involves integrating energy-efficient practices, reducing carbon footprints, and minimizing waste generation within facility operations.
Moreover, forward-thinking facilities management encompasses initiatives such as green building certifications, renewable energy adoption, and sustainable procurement practices.
By prioritizing environmental policies, facilities managers not only contribute to global sustainability efforts but also position their organizations as leaders in responsible corporate citizenship.
